About The Position

Rethink Therapy is seeking a Full-Time Office Manager for our outpatient counseling group.  The Office Manager’s primary responsibilities will include, managing the administrative assistant, overseeing the flow of client leads into the group, running payroll, and keeping our physical and digital spaces organized!

Experience as an administrative assistant, receptionist, client care, or direct client sales is an absolute requirement! You must have the skills to interact with current clients and client leads warmly while also connecting them with the right provider quickly. Our administrative assistant is responsible for answering all client contacts, but the Office Manager will cover that for the administrative assistant when out or when client leads ebb and flow. You will spend the first 2 months of this position as the acting lead administrative assistant (you’ll still be paid like an office manager). Still, we will be placing you in this role so you are VERY familiar with the client conversion process that you will be managing.

LET’S TALK COMPENSATION:

  • Salary: $40,000-$45,000 depending on experience

LET’S TALK DETAILS:

  • The position is 40 hours a week IN OFFICE Monday-Friday
  • For the first 90 days, your schedule will typically be 8am-4pm. Once trained you will select a permanent start time between 7am – 9am.

Here’s What You’ll Do:

  • Oversee all the administrative assistant, its processes, and client lead metrics. Basically – are we contacting each client back lickety-split and are we getting them scheduled?
  • Lead & manage the administrative assistant.
  • Run payroll.
  • Audit pay logs.
  • Onboard new employees in our HR system.
  • Manage current employee files in Google Drive & our HR platform.
  • Collaborate with Clinical Lead, Biller, and Owner on improving overall. client care and employee experience.
  • Support the therapists with office operations as needed.
  • Identify areas where we need improvement and problem-solve them.
  • Make sure our Google Drive isn’t a disorganized nightmare.
  • Make sure the office looks professional and organized.

  • Did we mention accountability? We can’t emphasize enough how much accountability is integral to this position. The owner is incredibly involved in the company and will meet with the Office Manager weekly for a report on current goals and projects.
